This policy pertains solely to information gathered through this website and uploaded to it. The policy aims to inform you about:

  1. The collection of personally identifiable information by FP via the Site, its usage, and sharing practices.
  2. Available choices regarding the use of your data.

INFORMATION COLLECTION, USE, AND SHARING

Data collection methods employed by FP are diverse and tailored to specific contexts. When show organizers contract with FP for lead retrieval services at their events, they provide attendee data to FP, but it remains the property of the organizers. Similarly, when this data is shared with exhibitors for lead retrieval purposes, it remains under the ownership of the show organizers.

FP also gathers data on attendees who visit fpLeads Portal, either to explore exhibitors they encountered at the event or to access and print certificates. This data is exclusively owned by FP.

Outlined below are the various ways through which FP collects data:

  1. Show Organizers: They provide attendee lists tailored to specific events to facilitate lead retrieval services and accurate session attendance tracking at those events. Typically, these lists include contact details such as the attendee’s name, company name, job title, email address and phone number. However, the attendee data shared with FP varies from one event to another depending on which attendee data the show organizer decides to make available for these services. Subsequently, these lists are uploaded to fpLeads Portal to facilitate the lead retrieval and the session tracking services, ensuring a smooth and efficient event experience for all stakeholders involved.
  2. Exhibitors: They upload lead data captured at events, enabling real-time reporting to head office, booth activity monitoring, managing, and downloading leads and measuring event ROI.
  3. Exhibitor Profiles: Exhibitors create these profiles as hubs of essential contact details and information about their businesses.
  4. Attendee Visits: When attendees browse exhibitor profiles, their data is logged by fpLeads Portal and shared with the respective exhibitor.
  5. Certificate Downloads: When attendees download or print certificates issued via the fpSessions app, their data is relayed to the relevant show organizer.
  6. Site Visits: Information regarding your computer and visit, such as IP address, browser type, and when you logged in and out, is collected when you access the Site. However, the IP and browser type are not stored beyond the browsing session, except in instances where troubleshooting is required for technical issues encountered during your visit.

HOW WE PROCESS COLLECTED DATA

  1. The attendees list provided by the show organizer is uploaded to the corresponding event on fpLeads Portal. When fpLeads and fpSessions apps are set up using a unique event access code, they download essential attendee information such as first name, last name, company, and email. This process makes the information instantaneously available for retrieval when attendees' badges are scanned or their badge IDs are entered, even when the app is operating offline. The complete attendee information, which was provided by the organizer, is then prominently displayed on fpLeads or fpSessions screen. If the attendee's badge contains all the information encoded within its barcode, there is no attendee data downloaded during the event setup on the device.
  2. Exhibitors has the flexibility to email the leads list collected at the event directly from their devices or alternatively, access fpLeads Portal to download it. Once this data is emailed or downloaded, we relinquish physical control over its subsequent usage. Nevertheless, exhibitors and show organizers utilizing fpLeads or fpSessions are contractually obligated by the respective app's End-User License Agreement (EULA) to adhere strictly to all pertinent GDPR and CCPA regulations. Post-event, following show organizer approval, we take the initiative to email each attendee a comprehensive report, containing a detailed list of exhibitors who have captured their information through badge scans or badge ID inputs. This proactive approach empowers attendees to initiate follow-ups with exhibitors and review their privacy policies at their convenience.
  3. For some events, under the directive of the show organizer, fpLeads Portal facilitates the transfer of leads data to a third-party server, overseen either by the show organizer directly or one of its trusted partners.
  4. Exhibitors obtain access to fpLeads Portal upon acquiring a license for the fpLeads app. Upon this acquisition, an account is created using the exhibitor's first name, last name, company, and email. Upon initial login to the site, exhibitors have the opportunity to furnish additional information such as their address and phone number, should they opt to do so. This data serves to uniquely identify the exhibitor and facilitate account maintenance. Within their exhibitor account, they are granted access to all leads data collected during the shows they attend. Moreover, exhibitors retain the right to request their account deletion at any time.
  5. Show organizers are granted access to fpLeads Portal via a dedicated show manager account, initiated once they contract with FP to provide lead retrieval services and/or attendance session tracking. Upon contract signing, an account is established using the show manager's first name, last name, organization, and email. During their initial login, show managers are given the opportunity to provide additional details such as their address and phone number, should they elect to do so. The core information, alongside any supplementary data, remains confidential and is not shared with external parties. Within this show manager account, organizers have access to a comprehensive array of functionalities, including all leads data captured by all exhibitors at their event, attendee analytics for gauging engagement levels, and session tracking attendance reports showing the precise number and identities of attendees at each session. At any time, show organizers have the right to request their account deletion.
  6. Resellers of fpLeads gain access to the fpLeads Portal via a designated reseller account subsequent to entering into a formal contractual agreement with FP. These resellers maintain direct relationships with show managers who engage their services. Empowered with comprehensive control, resellers manage every aspect of event setup, configuration, data management, and reporting. They have access to all the information accessible to both show managers and exhibitors. Moreover, the contact details of the reseller are available on the "Contact Us" page for the respective managed event, ensuring seamless communication channels between all stakeholders.

LEGAL BASIS FOR PROCESSING

FP relies on explicit consent from the attendee, obtained both during their registration for the event and through their voluntary decision to have their badge scanned by an exhibitor. This legal foundation is in accordance with GDPR Article 6, section 1(A), which stipulates that processing of personal data is lawful when the data subject has given consent to the processing of his or her personal data for one or more specific purposes.

FP is committed to using the information as described above solely for the purpose of providing lead retrieval services and session tracking services to the Show Organizers and exhibitors with whom FP contracts. Whether FP is the owner of the data or not, FP will not transfer, share, sell, or rent this information to any third parties.

CUSTOMER TESTIMONIAL

Periodically, we feature customer testimonials on our website to showcase the experiences of individuals who have used our services. These testimonials may include personal data. To ensure transparency and respect for privacy, we obtain explicit consent from each customer via email before posting their name and testimonial on our site.

INFORMATION ACCESS AND CONTROL

Show organizers and exhibitors have the option to delete attendee data or leads data at any time, in accordance with our data retention policy below.

Exhibitors who have uploaded a profile for attendees to view may opt to delete the profile at any time by revisiting the site and deleting the profile.

Attendees who visit our Site to view an exhibitor profile or choose to download or print a certificate can take the following actions at any time by contacting us via email at privacy@fairplicity.com or by calling us at 914-801-7016.

  • Request to view any data we have collected about you.
